Adfirm IT Solutions ("we", "us", or "our") respects your privacy. This Privacy Policy explains what information we collect when you visit https://www.adfirm.net or engage with our services, how we use it, who we share it with, and the choices you have.

This policy is written to comply with the Philippines Data Privacy Act of 2012 (Republic Act 10173), and where applicable, the EU General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA / CPRA). If you are located outside jurisdictions that recognize these laws, the protections described here are offered to you as a matter of practice.

1. Information we collect

1.1 Information you provide

  • Contact form submissions. When you use the contact form, we collect your name, email address, company name, indicated monthly budget range, and the message content you send.
  • Newsletter subscriptions. When you subscribe to our newsletter, we collect your email address.
  • Client engagement information. If you become a client, we collect additional information necessary to deliver services (billing details, project requirements, access credentials you choose to share, etc.). This information is governed by the separate Master Services Agreement or engagement letter signed with you.

1.2 Information collected automatically

  • Server logs. Our hosting provider records standard access logs that include IP address, timestamp, requested URL, HTTP referer, and user agent. These logs are retained for security, debugging, and abuse prevention purposes.
  • No first-party analytics or advertising cookies. We do not currently deploy Google Analytics, Meta Pixel, or comparable visitor tracking on this website. If we add analytics in the future, this policy will be updated and a consent banner will be deployed where required by law.

2. Third-party processors

We rely on the following third-party processors to operate this website. Each processes information under its own privacy policy:

  • Formspree — receives contact form submissions and forwards them to us. See Formspree's Privacy Policy.
  • Buttondown — handles newsletter subscriptions and email delivery. See Buttondown's Privacy Policy.
  • Cloudflare — provides DNS, edge caching, and security services. May collect technical request metadata. See Cloudflare's Privacy Policy.
  • Google Fonts — serves the typeface used on this site. May collect technical request metadata. See Google's Privacy Policy.
  • Hosting provider (CloudPanel-managed VPS). Stores the website files and processes incoming requests.

3. How we use information

We use collected information to:

  • Respond to inquiries submitted through the contact form
  • Send the newsletter you subscribed to, and allow unsubscription at any time
  • Provide, maintain, and improve our services to clients
  • Comply with legal obligations and respond to lawful requests
  • Detect, prevent, and address security incidents and abuse

We do not sell personal information, and we do not use your information for behavioral advertising or for AI model training.

4. Legal basis (GDPR)

If you are in the European Economic Area or the United Kingdom, our legal basis for processing depends on the type of data:

  • Consent — when you subscribe to the newsletter or submit the contact form.
  • Contract — when processing is necessary to deliver services we agreed to provide.
  • Legitimate interests — for security logging, abuse prevention, and routine site operation.
  • Legal obligation — where applicable law requires us to retain or disclose information.

5. Data retention

  • Contact form submissions: retained for up to 24 months unless we have an ongoing client relationship with you, in which case we follow the retention terms of our engagement.
  • Newsletter subscribers: retained until you unsubscribe. Every newsletter email contains an unsubscribe link.
  • Server logs: retained for up to 90 days for security and debugging purposes.
  • Client records: retained according to the terms of the relevant engagement and applicable tax/legal requirements.

6. Your rights

Subject to the law that applies to you, you have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Object to or restrict certain types of processing
  • Withdraw consent for processing based on consent
  • Receive a portable copy of your information
  • Lodge a complaint with a supervisory authority — in the Philippines, the National Privacy Commission (privacy.gov.ph)

7. California residents (CCPA / CPRA)

If you are a California resident, you have the right to know what personal information we collect, the right to delete it, the right to correct it, and the right to opt out of any sale or sharing of personal information. We do not sell personal information and do not share it for cross-context behavioral advertising.

8. Children

This website is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it promptly.

9. International transfers

Our third-party processors may store and process data in countries other than your country of residence, including the United States. When required, we rely on appropriate safeguards (such as Standard Contractual Clauses) to protect the information.

10. Security

We use reasonable technical and organizational measures to protect information against unauthorized access, alteration, disclosure, or destruction. No transmission over the Internet or method of electronic storage is fully secure, however, and we cannot guarantee absolute security.

11. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page indicates when it was last revised. Significant changes will be announced prominently on the website or by email to subscribers, as appropriate.
